- Monitors check-in process to insure only active members and their guests are accessing the facility.
- Assists with and promotes special events and programs to the Club Membership by keeping current with Club events, flyers, and meeting information. Drive initiatives and campaigns.
- Resolves any Member issues through effective customer service skills and by referring issue to the appropriate manager.
- Connect with managers to share important department information.
- Enforces current OAC Club and departmental policies by keeping current with changes and utilizing effective communication skills.
- Performs first aid and emergency responder techniques by maintaining CPR/AED and First Aid
- Certification. Must be aware of appropriate emergency response.
- Operate computer POS with facility operations software.

Cool Springs has been a staple in the South Hills for over 40 years now and has been continuously growing. On our campus, we have the Allegheny Health Network Sports Complex, the Clubhouse, a two-story driving range, an 18-hole miniature golf course and much more!
We are currently hiring for an Event & Sales Coordinator to manage the sales efforts of the Cool Springs events. He/she will oversee all aspects of the events from planning and execution to post-even analysis. The goal is to generate revenue by creating awareness of the event space and offerings at Cool Springs, along with sponsorship sales and social media outreach.
Job Duties
- Establishing and maintaining relationships with vendors
- Community outreach including social media, to spread awareness of Cool Springs’ offerings including birthday party bookings, VIP events, corporate events, team building events and more.
- Intercept all event booking requests
- Manage all event booking requests, from the initial follow up of the request through execution of the event
- Develop pricing strategies based on market conditions, customer demographics and competition.
- Communicating with clients to determine their needs and objectives in order to create a successful event.
- Maintaining event budgets, including costs for labor, decorations, equipment rental, etc.
- Coordinating with the marketing team to create a marketing plan for events that include promotion through social media and other channels such as direct mail or email marketing services
- Identify sponsorship opportunities on the Cool Springs campus
- Partner with marketing team to update existing sponsorship collateral for sales calls
- Cold call for sponsorship sales
- Maintain contracts for all existing and new sponsorship sales
- Manage group sales for VIP Bays, multi-sport simulators, golf simulators and tech bays
Requirements
- Bachelor’s degree in marketing, sales or related industry
- 3+ years of related event management experience
- Proven experience carrying out event execution, sales and management

Job Duties
- Accounts payable process, accounts receivable process, prepaid expense amortization, accrued expense journal entries, deferred revenue, daily sales journals, bank reconciliations, cash and credit card clearing reconciliations, division tracking with complex pro-rata allocations, commission calculations and audits, balance sheet reconciliations
- Performs full accounting cycle with multiple reporting requirements weekly, monthly and quarterly including statistic tracking
- Maintains financial records for company by auditing, analyzing general ledger accounts, investigating discrepancies and reviewing division reporting for accuracy with POS
- Maintains accounting controls by following policies and procedures – able to identify issues in policies and procedures and suggest improvements; Ensure other department managers are complying with policies and procedures; comply with federal, state, and local financial legal and tax requirements
- Assist in the processing of balance sheets, income statements and other financial statements according to legal and company accounting and financial guidelines
- Update financial data in databases to ensure that information will be accurate and immediately available when needed
- Identify and resolve financial discrepancies on a weekly basis with no discrepancy older than 30 days
- Other duties as assigned
Qualifications
Education & Experience:
Bachelor’s degree in Accounting or Finance
5-10 years related experience
Skills & Qualifications:
- Necessary: Proficient skills in MS Office Suite, Accounting Software (QuickBooks a plus), Payroll Software, Sage Fixed Asset, Multiple other software platforms, such as POS systems, work tracking software, etc.
- Retail accounting experience a plus
- Ability to operate multiple POS platforms and to reconcile on a daily basis
- Understanding of Generally Accepted Accounting Principles
- Awareness of business trends
- Experience with preparation of financial accounting statements
- Experience with general ledger functions and the month-end/year-end close process
